Netflix and project management

So a slight confession, I am a major “tv-holic” and I love watching stuff that is both entertaining but also has some value. There were two shows that have really captured my attention and specially in regards of project management. In the quest to manage projects successfully, there are key things one has to note. There are the lessons that will help you succeed and the ever dreadful pitfalls. Outlined below are salient lessons, and possible pitfalls on successful project management that are drawn from the show "7 days out" and "Fyre." Let's start with the notable lessons:
Proper Planning and Preparation: No project is successful without a concrete plan. A plan is the first step to achieving your set project goal. A plan shows you the mapped out direction and course of action for intended projects. A plan should include everything necessary to make a project work, people, venue, equipment, target, money, and dates. In the first episode of the "7 Days Out" show, the organizers of the Westminster dog show, mention the numbers of participating states, the size, and nature of the venue and the amount of work that had gone into making the venue suitable for the event. Planning involves a lot of research, and frankly, you have to start early.
 Put The Right People In Charge: Your project is as good as the people who handle the different aspects that make it a whole. Face it; there is just so much only you can handle; you need people. For a successful project, you sometimes have to trust the ability of other people and put them in charge of areas where they are skilled and can function optimally. The owners of the high end restaurant Elevan Madison Park did just that and you could see that even though they were meticulous they trusted their project manager and closest staff.
Teamwork: Asides putting people in a position where they can work optimally, no project succeeds without the collective input and hard work of all members. It is important to note that at the beginning of a project, all parties know the exact vision of the projects and are willing to work according to that vision and even help other members of the team when and where necessary. In one Episode of the show, there was a team of scientist working together to create a robot, Casini. At the point of creating the spaceship for Casini, over 5,000 people had to work on various parts of the spaceship. This is a team effort, combined knowledge. The success of a project is a success for every member of the team.
 Have Backup Plans: Nothing is certain. Plans fall through, and failures happen, do not forget to make room for them. Times, where things go wrong with your project, should often be met with backup plans. Think ahead, make provisions for the things that may fail so, you are not caught unawares. Preparedness is key.
Now, let's talk about the pitfalls to a successful project:
Setting Unrealistic Goals: It is okay to dream big, however, when carrying out a project, it is of utmost importance to draw the line between delusions and reality. A project might fail because of the unrealistic goals and deadline one has set for them. For instance, in the "Fyre" documentary, the founders had tried to hold a music festival and accommodate 8,000 people on a small island in the Bahamas. This island had no electricity or proper waste disposal system, and the organizers were to start developing houses/tents and waste disposal system on a very short time frame, how ridiculous!? From the get-go, this was a project that was intended to fail.
Accountability Issues: This plays a major role in the successes of projects. As a project manager, you might start to believe you are not accountable to anyone and so, you act nonchalantly and still think the project will be successful, irrespective. The truth is, you have to be accountable even if you are not being watched, to yourself, your team and every other party that matters. Financial accountability is necessary for counting loses calculating gains. This was apparent in the Fyre documentary when the founder was able to deceive a lot of people and no one was able to push past that. Many on the team even stated that they regretted how far it went.
Inadequate Resources: Resources here could be financial, human or otherwise. Do not set about a project where you lack heavily on resources. Do not bank on the resources that are yet to come and launch on to starting a big project. Doing this is already a recipe for disaster. In the Fyre documentary resources were scarce and came into the picture way to late.
This is just a top of the iceberg but still, I recommend anyone that has Netflix to watch “7days out” for good examples of project management and “Fyre” to see everything fail.

Viltu stytta uppstillitíma á vélunum eða hreinsitími milli aðgerða? Þá gæti verið gott að halda SMED umbótastofu. SMED stendur fyrir single minute exchange of a die, en Taihi Ohno sagði að engin uppstilling ætti að taka meira en 10 mínútur.

Áherslurnar mínar fyrir næsta ár er Heilsa - Fjölskylda - Fjármál.

Hér er verið að plana máltíðir jólanna. Að sjálfsögðu haft sjónrænt svo auðvelt sé að búa til innkaupalista. Síðan er búið að merkja vínin með grænum punkti (hentar mjög vel með kalkún), gulum (gengur með kalkún) og rauðum (ekki drekka með kalkún). Þannig er tryggt að hver sem sækir flöskuna veit hvað er í lagi :)

Það eru margir sem vilja setja allt í kassa, því er oft gott að taka skref til baka og sjá hvernig hlutir tengjast. Á síðustu ráðstefnu Lean Ísland þá talaði Mike Orzen um hvernig mindfulness, coaching og lean tengjast.

Þetta frábæra myndband sýnir tilraun sem gerð var á læknastofu. Allir stóðu upp við ákveðið píp og tilraunin gekk út á það hvort að manneskja sem ekkert vissi afhverju pípið kom myndi standa upp. Þetta útskýrir afhverju við gerum suma hluti "af því bara" og afhverju það er oft gott að taka eitt skref aftur og spurja sig "afhverju er ég að gera þetta skref" sérstaklega þegar verið er að reyna að eyða út sóun á vinnustöðum :)

Verkefnastjórnunarráðstefnan 2018

Verður haldin miðvikudaginn 31.október og mun ég halda fyrirlesturinn "Comparing apples to apples" og er ég þá að fara ofan í saumana á því hvernig er best að bera sig að við "benefit tracking" í verkefnum og hversu mikilvægt það er að nota sömu mælingar og lagt var upp með í byrjun.

Ég, Agnes og Hjálmar erum að fara af stað með mjög spennandi námskeið undir línuni "Ferla og gæðastjórnun" í samstarfi með opna háskólanum. 
Námskeiðið er 4 lotur og er kennt 1 sinni í viku í 4 skipti.

Why is uber winning?

I had been travelling for 15 hours when I finally landed at my destination. I was tired and ready to get to bed. I first searched for a hotel car to see if I might get lucky but I was all out of luck since there was none. I decided to take a taxi since there were like 15 waiting in a line and taking an UBER would have meant probably some waiting time. Well I should have waited! It's ironic that I just posted below picture a few days ago. Where it says that UBER didn't kill taxi business it was limited access and fare control. Well I can add to that after my experience - bad service from taxis's.

I get in the taxi and I tell him where I am going. He was super disappointed in the short distance I was going and asked me again and again why I didn't take the hotel shuttle - even though I explained to him that there was none! When we finally arrive the bill is around 12 dollars and he ask me to pay in Cash. I try to find the cash I had taken out but unfortunately I was super tired and I could not remember where I put them (in my defense I rarely have cash on me ) so credit card it was. Again I disappointed my cab driver and he hummed and grunted over the fact that I couldn't pay cash - even said a few times that he could wait for me search for my cash. After he saw that I wasn't going to change my mind he got the card machine and asked me how much tip I would like to give him. Since the ride was like 5 minutes and he had been very rude I looked a bit baffled. So he suggested I would tip him 10 dollars. Which was almost the same amount as the drive itself. At that point I couldn't be polite anymore and I said I am sorry that's never going to happen and I didn't tip him. In return he didn't want to give me a receipt and almost kicked me out of the car. I was of course super frustrated but there was nothing I could do, he will probably to the same thing to all his customers and nobody will know!!! And just for the record I always tip unless I get bad service then I don't...

So how would this trip have been different with UBER? For starters I would put in the app where I was going and the UBER driver would tell me right away if he wanted the trip and how much it would be. I would be picked up and dropped of and I would pay and get a receipt with the UBER app. In addition I could tip and rate the driver in the app and the driver can also rate me. This keeps the customer focus more on top!
So yes, I will wait for that UBER next time, what will you do!

Ég hef áður fjallað um staðlaða vinnu á þessari síðu og deilt sniðmátum sem hjálpa mér við að skipuleggja vinnuna mína. Það eru til tvær gerðir af staðlaðri vinnu, fyrir sérfræðinga/stjórnendur og svo rútínustörf. Í þessu myndbandi fer ég yfir þetta og hægt er svo að nálgast sniðmátin hér á síðunni undir "efni".

How does lean thinking relate to the Japanese culture and the world cup?

To better understand this answer, it helps to look at some of the important traits of the Japanese culture. One of the biggest parts of this involves the concept of “kata”. These are general societal rules and patterns of behaviors that the Japanese exhibit in their everyday life. Since this is an ingrained part of the Japanese culture, the standard practices of business come very naturally to people in this country. As part of their culture, the Japanese are also known for being perfectionists in everything that they do. They take a great deal of pride in their work, so they take a great deal of care to train their employees to ensure the highest quality of work.
Another big part of this concept of lean is listening and patience. Toyota is a company that has been heavily associated with lean. One of the things that makes this company so unique is that rather than just barking orders, they encourage workers to develop their own skills and problem-solving abilities. There is also a focus more on the long-term goals of a company rather than the short-term. These are all areas that exemplify how crucial patience is to the Japanese culture. In fact, to be considered an expert in any field it takes a great deal of time so patience is necessary.
Lean is all about how you organize a business to make it more efficient. The purpose is to maximize value and reduce waste. The Japanese culture is known for valuing cleanliness and order, both in the way their live their everyday life and how they run their businesses. If everything is meticulously organized, you can reduce waste because you know exactly what you have and what you need. This applies to office supplies and workflow management. You are able to see who should be working on what to know what needs to get done. It makes the business run more efficiently.

Japan and the world cup

It is therefore interesting to see how both the Japanese team and fans left the stadium after a heartbreaking loss to Belgium they still cleaned the stadium and locker room, the team even left a thank you note. If you google "Japanese fans" often picture of them cleaning comes up because this is a behavior you don't normally see in the football stadium.

So the big question is, how do we get this in the culture of our companies but also how can we teach this to our children?

5S

For those who have implemented lean or even thought about it might consider to start with 5S. It's an easy methodology for workplace cleanliness and the thought is that if things are clean and organized we don't have to search for our tools and therefore we are minimizing waste. Just beware that it is not a one time thing - rather it is a change in culture!!

Lead by example

So how can you change culture, I think it's best to lead by example or you could also call it "walk the talk". Think about if you see trash somewhere on the streets - do you pick it up or do you walk past it? If you walk past it and your children see it you are teaching them that it doesn't matter and the same goes in the workplace if your employees see you walk past it. A very wise man who was my boss always said "If a captain of a ship wants the ship clean, it will be clean. If he doesn't care, it will be messy". I think in order to change a culture we have to start first with ourselves and set an example. We need to continue that until our kids and employees find it absurd to leave trash somewhere other than in the bin because everything is so clean. Then you know that you have changed the culture and I think that's where we should aim at.

Virðisgreining er frábært tól til að greina ferlana sína. Notuð eruð ákveðin tákn til þess að sjá sóun betur. Munurinn á virðisgreiningu og hefðbundinni ferlagreiningu er að í þessari möppun er bæði verið að taka tíman á hverju skrefi fyrir sig og bið. Ásamt því er verið að mappa upp tölvukerfin.
Í þessum tveimur myndböndum fer ég yfir þetta og svo eru sniðmát á síðunni "efni".

Servant leadership and the World Cup

If you watch football you probably heard that Iceland became the smallest nation to compete in the world cup in football. We, the Icelandic people, are insanely proud of our team, their work ethic, talent and how far they have been able to go. Even if they have dropped out of their section we are so thankful that we have had a team to root on and they made us all extremely happy and proud. The above picture is even taken in a venue that showed the Argentina - Iceland game outside in the pouring rain and there were loads of people watching and the streets were deserted. What I find even more interesting is why this is happening and I am pretty sure that there are many reasons but one of them I do believe is their coach Heimir Hallgrímsson - part time coach, part time dentist. If you go to the Robert K. Greenleaf Center for Servant leadership it states what servant leadership is:

For me Heimir Hallgrímsson is an outstanding example of a servant leader.
In an article by Skip Richard he lists up 9 characteristics that a servant leader has and I believe Heimir Hallgrímsson has.​

Value diverse option

In football of course what the coach says is important. It is though interesting that when Heimir is talking about the coaching team he always talks about the people that are helping him prepare, looking at other teams etc.​

Cultivates culture of trust

Before each game, Heimir meets up with"tólfan" who's the Icelandic teams biggest supporters but Tólfan means ‘12th man’. There he goes over how he is planning on playing the game, who will play etc. He is showing an immerse trust to tell this but also respect to these super fans.
He has also said that within the team he has put some ground rules and everyone knows the consequences of breaking them. He said that clear communication and clear rules / framework, helps a lot when you have a room full of guys that all are trying to be their best and now need to think about the team.

Develops other leaders

Heimir is known for giving himself a lot of "one on one" time with each player. To make sure that they are developing and that training is going well.
He has an extremely good bond with Aron Einar the captain of the team. Heimir also wasn't shy to say how much Eiður Smári helped with morale in the Europe Cup and how he mediated his experience from playing with big teams and in big stadiums with a huge pressure on his shoulders.

Helps people with life issues

​He makes sure that he and others are in touch with reality. Just 2 days after coming home from the world cup, he came home to Westman Island and asked to be a referee in a football tournament for 10 year old boys. My son was playing this tournament and it was pouring with rain but there he was referring and loving it. (Picture on left is taken from KSÍ). What a man and what an outstanding role model for these boys!

Encourages

When the players need encouragement he give it to them. Both on the one on one time or if they have had a bad game. Picture (from visir) is taking from the world cup where Heimir is talking to Gylfi and encouraging him after a rough results.


Sells instead of tells

It was only mere six years ago when our national team was ranked 131st in the world and we never even dared to think that we would be able to compete in a big tournament. A few guys that had dual citizenships chosen to play for other countries because it would mean more chance for them to get to the world cup! Heimir has said many time how important it is to have a vision and even if they are playing big names like Messi or Ronaldo - they are not there to chat with them - they are there to win!

Thinks you, not me

When asked about his talent for coaching he is always modest. He thanks the team, the team behind the team, the fan. He states we can't do this alone we have to do this together!

Thinks long-long term

When Hannes saved a goal from Messi, Heimir didn't flinch - he was already trying to think a few steps ahead. He has also said how important it is to set goals and already has started to talk about how Iceland needs to qualify for the Europe Cup.
Another thing is that when Lars became the head coach he said that he was disappointed with the decision but now he understand how much he has learnt and he was glad with the experience. Some coaches I am sure would not have taken the job to become assistant coaches - but he had the foresight to see further than just 1 or 2 years ahead.

Acts with humility

But above everything Heimir Hallgrímsson is one humble man. Who else would come to Westman Island to referee? Also when asked in interviews what was next for him as his contract is up he just answered "There are many other things more important in life then football, we take life as it should be and try to find those values that give us the most - one of the things for me is family."

Núna er ég búin að setja inn fimm myndbönd um A3.
Oft er talað um 3 gerðir af þristum, vandamála, verkefna og stöðu. Best er að byrja á litlu vandamáli og æfa sig að gera þrist áður en er farið í flóknari verkefni. Í þessum myndböndum útskýri ég hvern þrist fyrir sig ásamt helstu spurningum sem ég fæ um A3.

Eitt af því sem er notað í spuna sem var verið að hvetja okkur að nota líka í business var að nota yes and hugmyndafræðina. En fræðin segja að um leið og þegar þú segir nei eða já en þá sértu búin að drepa niður sköpun og stoppa flæði.
Þannig ef þig vantar bók til þess að lesa í sumarfríinu þá er hægt er að lesa um þetta í bókinni "yes and" en hér er myndband þar sem Tina Fey snillingur útskýrir þetta :)
Í seinna myndbandinu er hún að nýta sér yes and í innovation lab :)
